Terms and Conditions

1. Introduction

​

These Terms and Conditions ("Terms") govern all bookings and services provided by Vincere Bars ("we", "us", "our") to the client ("you", "your"). By using our services or making an enquiry or booking, you agree to these Terms.

2. Booking & Payment

​

2.1 Booking Confirmation

A booking is only confirmed once:

  • A deposit has been received, and

  • Written confirmation has been issued by Vincere Bars

​

2.2 Payment Structure

  • 50% non-refundable deposit required to secure your date

  • Remaining 50% due no later than 7 days before the event

  • Failure to complete final payment may result in cancellation of services.

3. Cancellations & Refunds

3.1 Client Cancellation

  • Deposit is non-refundable under all circumstances

  • Cancellations made:

    • More than 14 days before event → no further payment required

    • Within 14 days → full balance may still be payable

​

3.2 Vincere Bars Cancellation

In the unlikely event we must cancel, a full refund of all payments will be issued. We are not liable for any additional costs incurred.

4. Event Requirements

​

4.1 Access & Setup

  • Client must ensure adequate access, space, and setup time

  • Minimum setup time: 1–2 hours

​

4.2 Facilities

Client must provide:

  • Safe, level working area

  • Suitable environment for bar setup (including shelter for outdoor events if required)

​

5. Alcohol & Licensing

​

5.1 Responsibility

  • Client is responsible for ensuring compliance with UK licensing laws

  • We reserve the right to refuse service to intoxicated or underage individuals

​

5.2 ID Policy

Valid ID may be required. We operate a strict responsible service policy.

​

6. Conduct & Safety

We reserve the right to:

  • Refuse service to any guest behaving in an unsafe, abusive, or inappropriate manner

  • Cease service if staff safety is at risk

No refund will be given in such circumstances.

7. Damages

  • Client is responsible for any damage to equipment caused by guests

  • Costs for repair or replacement will be charged accordingly

​

8. Liability

  • Vincere Bars is not liable for:

    • Any indirect or consequential loss

    • Delays caused by circumstances outside our control (e.g. weather, travel disruption, force majeure)

  • Our total liability is limited to the amount paid for the booking

​

9. Force Majeure

We are not responsible for failure to perform due to events beyond our control, including but not limited to:

  • Natural disasters

  • Government restrictions

  • Illness or emergencies

​

10. Media & Marketing

We may capture photos and videos during events for promotional use.
If you do not wish for this, please notify us in writing prior to the event.

​

11. Changes to Booking

Any changes must be requested in writing. We will do our best to accommodate, but cannot guarantee availability.

​

12. Governing Law

These Terms shall be governed by and interpreted in accordance with the laws of the United Kingdom.
